Case Study

PreviousNext

Case-study framework — why they matter, anatomy, the King Fahad first draft, future slots, publication plan.

A case study is proof. It is the artifact that converts the next pilot, the next paying school, and the next contributor. We aim to publish one case study per pilot — three by Q3 2026, six by Q1 2027. The first one is in progress with King Fahad Schools. For pilot strategy see Pilot; for marketing distribution see Marketing.

Why case studies matter

For audienceWhat the case study does
Next prospective pilot"A school like mine is doing this — I'm not the first."
Investors / incubatorsValidates the product is in use, not in slides
ContributorsShows the product affects real Arabic-speaking students
PressProvides a story, a name, a face, a quote
Government procurementDe-risks the decision; provides a reference call
Internal teamReminds us why we're doing the work

One paragraph from a real principal beats ten paragraphs from us.

Anatomy of a Hogwarts case study

Every case study uses the same five-section structure. Length target: 600–900 words. Sticks to one page printed.

#SectionPurposeLength
1Headline + metaSchool, country, size, pilot start date — orient the reader instantly1–2 lines
2ProblemWhat the school's day looked like before Hogwarts (concrete, with hours/percentages)150 words
3What we didThe pilot — onboarding, training, customizations, timeline200 words
4ResultsHours saved, parents reached, errors reduced — quantified200 words
5Quote + closingA direct quote from the principal or admin; what's next100 words
—Photo / screenshotOne Arabic-UI screenshot AND one school-context photo (when permitted)—

Anti-pattern: lyrical descriptions, unverified claims, percentages without baselines, generic stock photos.

Case study 1 — King Fahad Schools (DRAFT)

Status: in-progress. Pilot started 2026-04-04 (first meeting), subdomain deployed 2026-04-15. Six-month mark is 2026-10-15. Publication target: 2026-11-15 (post-conversion).

Draft headline

King Fahad Schools — Khartoum brings administration online after Sudan's school reopening, saving ~30 admin hours per month in the first 90 days.

School profile: private K-12, Khartoum, Sudan. Pilot start: April 2026. Subdomain: kingfahad.databayt.org. Owner contact: Ahmed Baha (Administrator).

Draft problem section (TODO — Samia to interview Ahmed Baha at month 3)

When Khartoum schools resumed for the first time after the 2023–2025 conflict, King Fahad Schools faced what every Sudanese school faced — paper registers, fragmented WhatsApp groups, Excel sheets that could not survive a power cut. The school administrator estimated ~40 hours per month on enrolment paperwork, attendance reconciliation, and parent updates. Records were inconsistent across grade levels. Parents called the school for grade updates instead of receiving them. With ~{{student_count}} students returning, the school needed digital infrastructure from day one.

Draft what-we-did section (TODO — Abdout + Ali to confirm details)

Pilot started in April 2026 with a 60-minute onboarding call. The platform was deployed at kingfahad.databayt.org with a Sudan curriculum seed loaded. The admission flow was tested end-to-end during onboarding (31 of 33 passing tests at launch — the remaining 2 were fixed by Day 7). Within the first month all admin staff, all teachers, and a pilot cohort of parents had accounts. Day 1, Day 7, Day 14, and Day 30 onboarding check-ins were held with the founding team. The school helped shape the bankak payment integration, which we shipped in May 2026.

Draft results section (TODO — measure at month 3 and month 6)

Hours saved: ~{{hours}} admin hours per month — a {{percent}}% reduction from baseline. Parents reached: {{n}} parents activated on the parent portal, with {{n}} push notifications sent in the first 90 days. Issue reports: {{n}} GitHub issues filed — {{m}} shipped, {{k}} on the active sprint. Features the school co-designed: bankak payment integration; admission credentials delivery; Hand-Lock credentials dialog. Student records digitized: {{n}} of {{n}} students fully on the platform.

Draft quote section (TODO — Ahmed Baha to confirm wording at month 6)

"{{Quote about reduction in paperwork, parent satisfaction, ease of use — Ahmed Baha's own words.}}" — Ahmed Baha, Administrator, King Fahad Schools

What's next: paid Year-1 plan starts Q4 2026, with the school joining as a Founding Partner co-designing the Year-2 roadmap. Hogwarts continues to be free for any Sudanese school with under 100 students through the FREE tier.

Pipeline of future case studies

One slot reserved per pilot in Pilot. Each enters draft state at pilot month 3, ships at pilot month 6 (post-conversion conversation, with school sign-off).

Publication plan

Each case study lives in three places:

SurfaceFormatAudience
hogwarts.databayt.org/case-studies/{{slug}}Long-form web page, Arabic + EnglishProspects, contributors
PDF in /docs/case-study/pdf/{{slug}}.pdfOne-page print version (sent with proposals)Decision makers
Social distributionLinkedIn AR + EN, Twitter, YouTube shortMass audience

Distribution rhythm: tease 2 weeks before, publish, then re-share on 30/60/90 day rhythm with new angles (one number, one quote, one screenshot).

Translations: Arabic-first wording approved by the school; English mirror by Samia. Always credit the school in their preferred language order.
